How UK tenant referencing works

Before a tenancy is signed, most landlords and letting agents run you through a referencing process — usually via a third-party referencing company. Here's what typically happens.

Affordability check

The referencing firm compares your gross annual income to the rent. The most common convention is that your income should be at least 30 times the monthly rent. Some firms use 28x or 2.5x monthly income instead — always ask which rule applies.

Income verification

You'll be asked for payslips, an employer reference, or — if self-employed — an accountant's reference, SA302 forms or tax-year overviews. Contract type and probation periods can also be considered.

Credit history

A soft credit check looks for CCJs, bankruptcies, and insolvency records. It usually does not reveal your exact score, and a soft check leaves no mark that other lenders can see.

Landlord reference

Your current or previous landlord may be asked whether you paid rent on time, looked after the property, and would be rented to again.

Right to Rent

In England, landlords must check that every adult tenant has the legal right to rent, using a passport, share code, or other accepted documents. This is a legal requirement, separate from affordability.

Decision

You'll typically pass, pass with conditions (such as a guarantor or rent in advance), or fail. Referencing normally takes 2–5 working days once your documents are in.

Guarantor check — the 36x rule

If your own income falls short, many agents will accept a UK-based guarantor. The common convention is that a guarantor's gross annual income should be at least 36 times the monthly rent — higher than the tenant multiple, because they're expected to cover the rent on top of their own outgoings.

What a guarantor agrees to. A guarantor signs a legally binding agreement to pay the rent — and often other tenancy costs, such as damage — if the tenant doesn't. On a joint tenancy, a guarantor may be liable for the whole rent, not just one tenant's share, so they should read the agreement carefully.

Who agents usually accept. Most agents want a guarantor who lives in the UK, has a solid credit history, and is a homeowner or has stable employment. The guarantor goes through referencing too.

If you can't find a guarantor. Commercial guarantor services exist for a fee, and some landlords will instead accept several months' rent in advance where lawful and agreed. University students can sometimes use institutional guarantor schemes.

Multiples vary. 36x is a widespread convention, but some agents use 30x for guarantors and some ask for more. Always confirm the exact requirement before asking someone to commit.

Tips to pass referencing

A little preparation goes a long way. These are the things that most often smooth — or sink — a rental application in the UK.

Get documents ready early

Have 3 months of payslips, 3–6 months of bank statements, photo ID, and your current landlord's contact details ready before you apply. Self-employed? Line up your SA302s and accountant's details.

Know your numbers first

Run the checker above before viewing. If a property needs more than your income supports, decide in advance whether you'll offer a guarantor or look at a lower rent band.

Check your credit file

Use a free statutory credit report to look for CCJs or errors before an agent does. Get on the electoral roll at your current address — it's one of the simplest ways to strengthen your file.

Warn your referees

Tell your employer's HR team and your current landlord that a reference request is coming. Slow referee responses are one of the most common reasons referencing drags on and properties are lost.

Be upfront about issues

A past CCJ or a gap in employment is far less damaging when you declare it early with context than when the referencing company finds it unannounced. Agents can often work around known issues.

Consider a joint application

On joint tenancies, most referencing firms combine applicants' incomes against the total rent. Two moderate incomes together often pass comfortably where one alone would not.

Guarantor

Right to Rent
